Who is responsible for the processing of my personal data?
What are personal data?
Personal data is all data that can be traced back to you as an individual. Just think of your name, phone number, address or email address. But also data such as your IP address or AQV-Systems customer number are personal data. And other data that is unique to you, such as your AQV-Systems order history or browsing habits.
From whom do we process personal data and how do we get this data?
We process the personal data of anyone who has (had) direct or indirect contact with AQV-Systems, such as (business) customers and partners’ contacts.
We get the information directly from you, when you visit our website, create an account and fill in certain details or when you contact us via our contact form or by phone.
In some cases, we receive your information from others. When someone sends an order directly to you, we get your name and address information.
What data do we process from you, what do we use it for and how long are it stored?
Data for processing your order
If you order something, we need certain information from you to be able to deliver your order and to keep you informed about your order. This information is also required for any returns or repairs.
For this we collect your name, email address, delivery address(s), payment details and your phone number.
The data is required to execute the agreement you have concluded with us (or with one of our sales partners). Under the law, we must keep the data related to your order for 7 years.
your account In your personal account we keep the following information: your name, (delivery and residence/location) address(s), telephone number, email address, payment details.
In your account, we also keep your order history including chosen delivery options.
It is our customer promise to make our customers’ lives easier and more enjoyable. That’s why we keep the data in your account as long as you are an active customer with us. If you haven’t logged in with us for 7 years, we’ll delete all your data. In addition, you can make a request at any time to have your data deleted in your account.
Details about your
contact with us You can call or email us or send a message via social media, such as Facebook.
We can help you faster next time by keeping your data. We therefore keep the notes about customer contact as long as you are an active customer with us.
When you send us a private message via Facebook, we will keep the messages for up to 6 months, or shorter if you delete the message yourself earlier.
Data for an optimal

Improve the shopping experience based on general information and
sales statistics When you view an article on AQV-Systems, you’ll also see other articles we recommend (for example, under the heading “Related Products”). These recommendations are based on the article or category you’re currently looking at. Based on statistics, we know that customers who bought that item were also interested in the other items. These recommendations are not personal: everyone who views that article will see the same recommendations. Or we’ll show you what other users were looking for based on your search. This kind of improving your shopping experience can also be seen in a physical store. For example, articles of the same type or that belong together are usually combined. And the seller also knows what’s popular and what other customers bought when they came into the store with the same demand.
We regularly have offers, special promotions and news that we would like to share with you. We like to share it by e-mail. If you have an account with us and have placed one or more orders, we’ll email you suggestions, information about our articles and services based on your purchases and review requests. If you give us permission to do so, we may also email you other information, such as the daily offer, general win actions or personal recommendations and information. These personal recommendations are based on your purchases and visit history from up to 2 years ago to make the content of the email more interesting to you. If you prefer not to receive this kind of information, you can immediately opt out of newsletters in the relevant email.
Data to combat
fraud No one is waiting for security incidents and fraud, neither are we. That’s why we use personal data (including IP addresses and search, browsing and buying behaviour) to investigate, prevent and prevent unauthorized access and fraud.
media If you use social media like Facebook, you can use “like and share” buttons on AQV-Systems to share articles you like, find useful or useful with your friends on your social media account. AQV-Systems will not be able to access your social media account. With whom is your data shared?
Distribution and logistics
partners In order to settle your order, we work together with distribution partners. These parties receive your customer number, order number, name and delivery address to ensure that they can process your package correctly.
We also work with PostNL. They get your name and delivery address from us. They need this information to deliver your package to your chosen address.
service providers We also engage other third-party service providers to help with different things. Sometimes they also need personal data for this. We only share the data necessary for the assignment that the external service provider performs for us. We do not sell your data to these service providers or other third parties. And with all external service providers we conclude agreements in which we agree on what they can do with the data.
The types of work that our external service providers carry out for us are:
- supporting the delivery of our digital services such as the hosting, maintenance and support of our websites and applications;
- supporting our advertising and marketing campaigns;
- obtaining ratings and reviews;
- financial services, such as payment services and debt collection agencies.
government Sometimes we have to pass on personal data to the government. This may occur first of all if certain public institutions need this data to carry out their tasks, such as the Tax Office. The police or the judiciary may also need certain information in the event of fraud or abuse. Finally, certain supervisors may have access to personal data as part of an investigation.
How do we handle data from our business sales partners?
When you sell as a business sales partner via AQV-Systems, we store your KVK number and your VAT number in addition to the contact details you enter in your sales account (the name of your company, the name of your company’s contact, email address, your contact address (and any other addresses), payment details and your phone number).
We will keep the information from the sales account as long as you are an active seller with us. After that, we delete your data, except for the data that we must or may retain under the law. Under the tax legislation, we must keep certain data for at least 7 years.
Where do we store your data?
We store your data within the European Economic Area (“EEA”). However, certain data we collect may be passed on to or stored at a destination outside the EEA, for example because one of our third-party service providers is located there. When this happens, we ensure that this is done in a safe and lawful manner.

AQV-Systems takes measures to protect your personal data. Both organizationally and technically.
What rights can you exercise with respect to your data?
Right of access
You have the right to request access from us at any time in the information we have available about you. You can request this via the contact form. We process applications within 30 days at the latest.
correction You have the right to have your personal data corrected if it is incorrect or outdated and/or to have it replenished if it is incomplete. You can report this 24/7 via the contact form.
object You have the right to object to the processing of your data if you do not agree with the way we process your personal data. This right applies to the data we use for direct marketing. For example, you can ask us to stop using your data for personalised recommendations on the website. You can indicate this via the contact form. In addition, this right also applies to other data we use of you on the basis of our legitimate interest. For example, you can choose to forget and keep forgetting the information about your browsing and search behavior. You can indicate this via the contact form. We process applications within 30 days at the latest.
Right to data
portability You have the right to receive data that you have given to us under the agreement(s) you have concluded with us in a machine-readable format, so that you can keep this data in a database of you or another party. These include your name, address and residence details and order history.

Right to be forgotten/request to
delete account You have the right to ask us to delete all of our information about you. When you submit a request to delete your account, we will delete data that can be traced back to you except for the information we must or may retain under the law. a complaint You have the right to file a complaint about the way we handle your data. When you have a complaint, we prefer to resolve it with you ourselves. Please contact us for that. Finally, you have the right to contact the Dutch Data Protection Authority with your complaint.
